Automated Invoice for Clients

The Automated Invoice feature in Practive helps you generate client invoices automatically at regular intervals.
You can set invoices to occur daily, weekly, monthly, every few months, quarterly, or yearly, depending on your firm’s invoicing needs.
This flexibility allows you to align invoice schedules with your clients’ payment cycles and eliminate the need for manual invoice creation.


Overview

Automated Invoice lets you define a custom schedule for generating invoices automatically.
To configure it, you need to set three simple parameters:

  • Start Date – The date when the first invoice should be generated.

  • Interval Value – The gap between invoices (for example, every 1 month, every 2 months, etc.).

  • Frequency (Day / Month / Year) – The time unit used for the interval.

Once configured, invoices will be created automatically according to your selected schedule.


How to Configure Automated Invoice

  1. Go to Clients Menu → Open a Client.

  2. Enable the “Create Invoice Automatically” toggle.

  3. Configure the following fields:

    • Start From Date: Select the starting date for automatic invoices.

    • Interval: Enter the number of days, months, or years between invoices.

    • Frequency: Choose Day, Month, or Year as the frequency type.

  4. Click Enable to activate automation.

Invoices will then be generated automatically based on the defined schedule.



Examples

1. Weekly Invoice

  • Start Date: 01-Nov-2025

  • Interval: 7

  • Frequency: Day

Invoices will be created every 7 days starting from 01-Nov-2025.
Generated Dates: 01-Nov-2025, 08-Nov-2025, 15-Nov-2025, and so on.


2. Monthly Invoice

  • Start Date: 01-Nov-2025

  • Interval: 1

  • Frequency: Month

Invoices will be created every month on the 1st.
Generated Dates: 01-Nov-2025, 01-Dec-2025, 01-Jan-2026, etc.


3. Every 2 Months (Bi-Monthly)

  • Start Date: 01-Nov-2025

  • Interval: 2

  • Frequency: Month

Invoices will be created once every two months.
Generated Dates: 01-Nov-2025, 01-Jan-2026, 01-Mar-2026, 01-May-2026, and so on.


4. Quarterly Invoice

  • Start Date: 01-Oct-2025

  • Interval: 3

  • Frequency: Month

Invoices will be generated every 3 months (quarterly).
Generated Dates: 01-Oct-2025, 01-Jan-2026, 01-Apr-2026, 01-Jul-2026, and so on.


5. Yearly Invoice

  • Start Date: 01-Nov-2025

  • Interval: 1

  • Frequency: Year

Invoices will be generated once a year on the same date.
Generated Dates: 01-Nov-2025, 01-Nov-2026, 01-Nov-2027, and so on.


Points to Remember

  1. The system automatically calculates the next invoice date based on the start date, interval, and frequency you define.
  2. You can modify an automated invoice profile at any time.
  3. Manual invoices can still be created alongside automated ones.
  4. Auto Invoice works only at the Billing Profile level. The linked clients cannot enable it individually, and all linked clients follow the same Auto Invoice schedule set in the Billing Profile.
  5. Only completed tasks will be invoiced.
  6. The amount must be entered in the Assigned Services for the task to be billed.
